Travel Management Officer

Job Summary

The Travel Management Officer is responsible for overseeing and coordinating all travel-related activities within the organization. This role ensures cost-effective, efficient, and compliant travel arrangements, manages vendor relationships, and optimizes travel policies to support business operations and employee travel needs.

Job Responsibilities

Key Metric

Travel Planning & Coordination – Monitoring domestic and international travel transaction, ensuring compliance with policies and budgets. Provide assistance with visas, passports, and travel documentation.

Accurate travel planning dan monitoring

Vendor & Budget Management – Develop relationships with travel service providers, negotiate contracts, and monitor travel expenses for cost-saving opportunities.

Good relationship with third parties

Policy Compliance & Risk Management – Ensure adherence to corporate travel policies, track regulatory changes, and develop contingency plans for travel disruptions.

Policy compliance

Employee Support & Communication – Act as the main point of contact for travel-related inquiries, provide pre-travel briefings, and resolve travel issues promptly.

Employee satisfaction score

Reporting & Process Improvement – Maintain travel records, generate reports, and all data related to travel management to support decision making.

Maintain and actively implement SHE programs and responsibility (involve identify, mitigate and monitor SHE risk), including SHE Management System to ensure the effectiveness of the programs conform to official standard, requirements and procedure applied and to confirm the execution of the SHE Responsibility meet the intended outcome - SHE risk well maintained

Education

Bachelor's degree, preferable from tourisme management or transport management

Skill, Knowledge, and Experience

  • Minimum of 3 years of experience in travel management, corporate travel coordination, or a related role.

  • Strong negotiation and vendor management skills.

  • Knowledge of travel booking systems, expense management tools, and corporate travel policies.

  • Excellent organizational, problem-solving, and communication skills.

  • Ability to handle multiple priorities and work under pressure.

  • Familiarity with visa requirements, international travel regulations, and risk management practices.

  • Proficiency in Microsoft Office Suite and travel management software.
